1. Project Structure / Hierarchy

You can understand Project Insight workspace with the help of the following hierarchy:

Project Home > Project > Work List > Tasks > Issues

  • Project Home: First screen that gives you access to all Projects in your workspace.
  • Project: A dedicated space for all Project-related information.
  • Work List: Contains any Tasks, Issues, approvals, or assignments you’re currently working on and their status.
  • Task: Actionable items that need to be completed in order to complete the Project.
  • Issues: Independent to-dos that emerge during the course of a Project.

b. ProWorkflow

ProWorkflow has a simple hierarchy for project tracking:

Projects > Task Headings > Tasks

  • Projects: A project could be a single end-product you aim to deliver, a client you manage, or any larger goal you’re working towards.
  • Task heading: These large tasks act as stepping stones in the project and contain smaller steps.
  • Tasks: These are the individual action items within a task heading.

2. Views

a. Project Insight

The default view to see your Tasks in Project Insight is a List displayed on your Work List page. But almost every page has Page Display Options that let you pick and choose what you want to view on the page.

b. ProWorkflow

ProWorkflow offers the following nine ways to visualize work:

  • Homepage: An overview of your workload, upcoming deadlines, recent activity, and staff activities.
  • Calendar: Projects and tasks organized by start date and displayed on a calendar.
  • Timesheet: Shows your time tracked and the tasks you worked on.
  • Timeline: Displays your tasks by start and end date and the dependencies between them.
  • Customer map: Allows you to see the locations of your clients on a map.
  • Projects list: A table showing all your current projects and their details.
  • Projects board: A Kanban board displaying your projects grouped according to your chosen parameter — E.g., task status, priority, or category.
  • Tasks list: A table displaying details of all your tasks.
  • Tasks board: A Kanban board of your tasks grouped by a chosen field.

3. Tasks & Subtasks

a. Project Insight

You can find Tasks in your Project Insight Work List. Each Task houses information essential for its completion, such as:

  • Status
  • Related Items (or files you can attach)
  • Comments
  • Time tracked so far
  • Location

A Task can have multiple Predecessor and Successor Tasks. This decides the order in which your team must tackle them and automatically calculates the Project timeline.

Each parent task is known as a Summary Task in Project Insight. These can be split into smaller to-dos in the form of a Child Task.

b. ProWorkflow

To establish a hierarchy of tasks in ProWorkflow, use the task styles feature: heading, bold, and normal. Bold and normal tasks serve as subtasks under a task heading, and bold tasks are higher priority than normal tasks.

When you create a task, you can include the following:

  • Task name and description
  • File attachments
  • Dependencies
  • Assignees
  • Priority
  • Time estimate
  • Start and due dates
  • Billable status (yes or no)
  • Billable rate
  • Taxable status (yes or no)

4. Statuses

a. Project Insight

Choose from one of the following default Statuses to indicate Task progress in Project Insight:

  • Not Started
  • Started 
  • In-Progress
  • Almost Done
  • Done

Besides these, you can add a column for Percent Complete that lets users indicate progress with percentages the Admin has set in a drop-down. 

b. ProWorkflow

With ProWorkflow, you can indicate project and task statuses using tags. You can set up custom status tags for projects, tasks, and contacts.

5. Checklists

a. Project Insight

Project Insight doesn’t offer any native checklist feature.

b. ProWorkflow

ProWorkflow doesn’t have a native feature for adding checklists to tasks. However, you can create a list of indented subtasks to serve as a checklist.

6. Task Templates

a. Project Insight

Task templates exist as part of Project Templates in Project Insight.

You can either craft a Project Template from scratch or save an existing Project as a Template in a folder. This will also save the structure and components of all its Summary (parent) Tasks that make it up.

If you wish to create a Task via a Template, you must access a Project Template and select the particular Task you want to recreate.

 

b. ProWorkflow

ProWorkflow enables you to create new task templates from scratch or based on other templates or current projects.

7. Assignees

a. Project Insight

You can assign an entire Project to team member(s), which will end up assigning them all the Tasks within it too. You could also assign single Tasks to individuals or multiple team members.

b. ProWorkflow

ProWorkflow offers several ways to assign tasks, including:

  • Drag and drop assignees from a list onto a task on the project description page.
  • Assign or remove a team member across all tasks in a project
  • Add assignees in the contacts column of the tasks view
  • Assign multiple tasks to a contact at once

8. Priorities

a. Project Insight

While you cannot add Priorities to individual Tasks in Project Insight, you can do this for Projects and Issues.

Choose from the default High, Medium, and Low priority levels for your Projects and Issues. 

b. ProWorkflow

Select a low, medium, or high priority status for tasks and projects. To create custom priority statuses, you can use project or task tags.

Additionally, you can indicate priority using the bold task style.

9. Automations

a. Project Insight

Project Insight requires you to get Add-ons to execute Project-level automation. 

b. ProWorkflow

ProWorkflow doesn’t have any native automation features.

B. Time Management

Project Insight uses an Intelligent Scheduling system to calculate due dates. 

This means that once you set the start date for a Project, Project Insight automatically calculates and sets all start and end dates for Tasks within it.

Additionally, if you add a start date and estimated number of Duration (in workdays) and Work Hours a Task is estimated to take (or allotted), Project Insight adds all due dates automatically. This shifts dynamically as you move around dates and hours for its preceding and succeeding Tasks. 

b. ProWorkflow

ProWorkflow includes start and due date fields when you create a task, edit a task, or set up a task template.

2. Time Estimates

a. Project Insight

Every Project in Project Insight has Target settings you can edit. This page will allow you to update the estimated hours for the Project in the Target Budget Hours field. 

On a Task level, you can add Duration (in workdays) and Work Hours in separate columns of the Work List. 

b. ProWorkflow

Add time estimates to tasks and projects using the time allocation field.

3. Time Tracking

a. Project Insight

Enter time used per Task by:

  • Directly adding worked hours on a specific Task 
  • Editing a grid containing all Tasks you’ve worked on
  • Starting a Timer on each Task while you work on it 

b. ProWorkflow

ProWorkflow offers four methods for tracking time on tasks:

  • Live tracker: Track time for a task using a timer while you work
  • Manual entry: Add a time record declaring hours and minutes worked on a task
  • Drag and drop: Drag a task onto a timesheet and size the block to indicate time worked
  • Direct entry: Enter time details directly into the timesheet

2. Dashboards

a. Project Insight

Every Project Insight user can access a central Dashboard that contains their active and upcoming Tasks.

A Project Manager can configure this to include key Project details and customize it to include any information they want to access instantly. These could include Tile components, such as:

  • Project Requests

Users can save a particular layout on these Dashboards, rename them, and share them with others in the team.  

b. ProWorkflow

Your ProWorkflow homepage displays a dashboard of graphs and details on upcoming tasks.

The graphs can display details like projects and tasks by status or priority, time tracked vs billable time, and quotes and invoices.

You’ll also see a list of upcoming task start and due dates.

3. Gantt Charts

a. Project Insight

To access a Gantt Chart view on your Work List or Project home page, go to the Page Display Options and configure the particular information you wish to display in it.

Once generated, you can adjust Task dates and Milestones, review the Project’s Critical Path, change Dependencies, and more on your Gantt Chart. 

b. ProWorkflow

ProWorkflow’s timeline view functions as a Gantt chart and allows you to:

  • Create new tasks
  • Drag to adjust start and due dates
  • Select and adjust multiple tasks at once
  • Set or remove task dependencies

All Project Insight Users have different permission levels depending on:

  • Their User System Role (Ex: System Administrator, Power User, Team Member, etc.)
  • The Communication Settings for the particular item

In ProWorkflow, there is only one permission level with default settings — super user. Other than that, you must create custom roles to define your organization’s permission levels.

Project Insight does not allow you to share any information from your Workspace with external users nor lets you create guest user profiles.

You can add clients and external parties as contacts in your ProWorkflow organization and customize the permissions for all client contacts or individual clients.

On their contact profile, you can edit the following information and settings:

  • Client name, title, and company name
  • Whether they’re the main contact for that company
  • Whether they can log in (you set the username and password)
  • Their email address and phone contact details
  • Whether they can request projects
  • Which projects and tasks can they view
  • Which views can they access

E. Collaboration

For instance, what works for a small software development team might not suit a large marketing agency.

Project Insight prides itself on offering a platform that aligns with the essential project management principles. 

And rightly so.

With features like Intelligent Scheduling, thorough capacity management, and nuanced levels of permissions for each user, Project Insight indeed puts its best foot forward in the project management game.

Busy project managers, especially in bigger teams, will relish the extremely customizable Page Display Options and its bulk edits functionality.

What you might miss, though, is a slightly easier, more visual interface.

New users, especially those without a background in project management, could be put off by Project Insight’s complexity.

For example, while the Work List can be customized, it could benefit from a few standard (default) views that users can deploy from the get-go.

Additionally, Intelligent Scheduling doesn’t let users manually set timelines for their own Tasks without changing the entire project’s timeline. This works out great for project managers who need complete oversight and control of the Work List but may feel restrictive to team members working on smaller Tasks.

However, if your project has complex (and hyper-specific) requirements, Project Insight’s steep learning curve may be worth the ride!

ProWorkflow Verdict

ProWorkflow offers a lot of freedom to customize permissions, statuses, and time tracking. It’s useful for handling tasks in bulk and assigning them easily.

Its approach to setting up tasks and subtasks stands out as both simple and unique, and the way in which it organizes information in views is adequate (but not stellar).

The inclusion of invoicing and quotations also enhances ProWorkflow’s utility. These features make ProWorkflow suitable for organizing project work across multiple clients.

However, there are some major downsides.

The tool doesn’t have a free plan and is relatively expensive out of the gate. The features also don’t differ much between the pricing plans.

One must wonder if the price tag is justified, given that the app lacks automation and AI features, which are generally standard practice among project management tools today.

Additionally, the user interface, commenting, and notifications are dated and not very user-friendly. The comments resemble an old-school forum and aren’t particularly well-equipped for organized, threaded discussions.

ProWorkflow’s support resources are also rather sparse, which can contribute to a higher learning curve.
