  • Projects: A space to view either all projects regardless of assignment or projects specifically assigned to you.
  • List: A series of tasks in a clear and linear format. Select multiple views, such as Calendar, Scheduler, or Kanban.
  • Tasks: A collection of tasks within projects, each containing further details like attachments, comments, subtasks, and more.
  • Subtasks: Granular action items within each task, which you can create by dragging and dropping tasks or through other methods.

b. Project Insight

You can understand Project Insight workspace with the help of the following hierarchy:

Project Home > Project > Work List > Tasks > Issues

  • Project Home: First screen that gives you access to all Projects in your workspace.
  • Project: A dedicated space for all Project-related information.
  • Work List: Contains any Tasks, Issues, approvals, or assignments you’re currently working on and their status.
  • Task: Actionable items that need to be completed in order to complete the Project.
  • Issues: Independent to-dos that emerge during the course of a Project.

2. Views

a. Project.co

Project.co comes with the following default views:

  • List View: Display items in a list and sort, group, edit, or reorder them easily.
  • Cards View: Visualize all items assigned to each team member to assess their capacity.
  • Calendar View: Display items as colored blocks based on the start and due date.
  • Scheduler View: View items on a timeline and group them by project, status, date, assignee, etc.
  • Kanban View: View items in columns and group them by any field so you can track progress through different stages.

b. Project Insight

The default view to see your Tasks in Project Insight is a List displayed on your Work List page. But almost every page has Page Display Options that let you pick and choose what you want to view on the page.

3. Tasks & Subtasks

a. Project.co

Create multiple or individual tasks for a clear view of the entire team’s work across all projects.

Tasks can provide a variety of information, like:

  • Attachments
  • Comments
  • Access (Creators, Collaborators, or both)
  • Due Dates
  • Priority
  • Status
  • Assignees
  • Task Description

Also, split tasks into smaller to-dos as subtasks within parent tasks.

b. Project Insight

You can find Tasks in your Project Insight Work List. Each Task houses information essential for its completion, such as:

  • Status
  • Related Items (or files you can attach)
  • Comments
  • Time tracked so far
  • Location

A Task can have multiple Predecessor and Successor Tasks. This decides the order in which your team must tackle them and automatically calculates the Project timeline.

Each parent task is known as a Summary Task in Project Insight. These can be split into smaller to-dos in the form of a Child Task.

4. Statuses

a. Project.co

Create color-coded custom statuses to outline the workflow of your projects and tasks. 

You can remove all existing statuses aside from Active and Completed. However, you can edit the name and color of the Active status.

b. Project Insight

Choose from one of the following default Statuses to indicate Task progress in Project Insight:

  • Not Started
  • Started 
  • In-Progress
  • Almost Done
  • Done

Besides these, you can add a column for Percent Complete that lets users indicate progress with percentages the Admin has set in a drop-down. 

5. Checklists

a. Project.co

Project.co doesn’t have native checklists for to-do items. 

b. Project Insight

Project Insight doesn’t offer any native checklist feature.

6. Task Templates

a. Project.co

Develop task templates in Project.co so you don’t have to set up projects from scratch every time. Adjust fields like Status, Due Dates, and Account privacy settings.

Each template can contain tools like discussions, attachments, notes, and so on. If you don’t have a template, their templates gallery offers 30+ free templates.

b. Project Insight

Task templates exist as part of Project Templates in Project Insight.

You can either craft a Project Template from scratch or save an existing Project as a Template in a folder. This will also save the structure and components of all its Summary (parent) Tasks that make it up.

If you wish to create a Task via a Template, you must access a Project Template and select the particular Task you want to recreate.

 

7. Assignees

a. Project.co

Assign projects, tasks, roles, etc. to individual members, entire teams, or groups of people with your Project.co account.

b. Project Insight

You can assign an entire Project to team member(s), which will end up assigning them all the Tasks within it too. You could also assign single Tasks to individuals or multiple team members.

8. Priorities

a. Project.co

Set your Project.co tasks to High, Medium, and Low levels — visualized by different colored flags on each task. Creator Plus and Creator Admin users can also set up custom priorities. 

b. Project Insight

While you cannot add Priorities to individual Tasks in Project Insight, you can do this for Projects and Issues.

Choose from the default High, Medium, and Low priority levels for your Projects and Issues. 

9. Automations

a. Project.co

Project.co doesn’t have native automations.

b. Project Insight

Project Insight requires you to get Add-ons to execute Project-level automation.

Project Insight uses an Intelligent Scheduling system to calculate due dates. 

This means that once you set the start date for a Project, Project Insight automatically calculates and sets all start and end dates for Tasks within it.

Additionally, if you add a start date and estimated number of Duration (in workdays) and Work Hours a Task is estimated to take (or allotted), Project Insight adds all due dates automatically. This shifts dynamically as you move around dates and hours for its preceding and succeeding Tasks. 

2. Time Estimates

a. Project.co

In Project.co, you can add time estimates for how long a task or project will or should take. You can also use charts to see the difference between time allocated and actual time spent on tasks.

Only Creator Plus and Creator Admin roles can delete and edit allocated time on projects.

b. Project Insight

Every Project in Project Insight has Target settings you can edit. This page will allow you to update the estimated hours for the Project in the Target Budget Hours field. 

On a Task level, you can add Duration (in workdays) and Work Hours in separate columns of the Work List. 

3. Time Tracking

a. Project.co

Use Project.co’s manual timesheets or its in-built timer to record how long each project and task takes. Creators and higher-level roles can manage time entries. 

b. Project Insight

Enter time used per Task by:

  • Directly adding worked hours on a specific Task 
  • Editing a grid containing all Tasks you’ve worked on
  • Starting a Timer on each Task while you work on it 

C. Reporting

What you can’t measure, you can’t improve.

To access a Gantt Chart view on your Work List or Project home page, go to the Page Display Options and configure the particular information you wish to display in it.

Once generated, you can adjust Task dates and Milestones, review the Project’s Critical Path, change Dependencies, and more on your Gantt Chart.

Project.co offers five user roles (Collaborator, Collaborator Plus, Creator, Creator Plus, and Creator Admin), each with its own set of permissions. Assigning one of these roles allows you to:

  • Choose which users can define roles for the people they invite.
  • Select Creator Admins who can access all account settings.
  • Choose who can create projects, manage tasks, or view notes.

Project Insight does not allow you to share any information from your Workspace with external users nor lets you create guest user profiles.

Receive in-app or email notifications for invitations, comments, mentions, assigned tasks, changes to tasks, and payment success in your Project.co account.

When logged in, users don’t receive email notifications straight away to reduce email overload. Instead, you’ll receive an in-app notification. All users can set their notification preferences in settings.
